What data can you migrate from Freshdesk?

The Migration Wizard transfers the following data types automatically, with field mappings and relationships preserved:

  • Agents
  • Companies
  • Contacts
  • Tickets
  • Categories
  • Folders
  • Articles
  • Macros
  • Responses

What cannot be migrated?

A few Freshdesk data types and edge cases fall outside what the Migration Wizard can transfer automatically:

  • Events (activities)
  • Forums
  • Attachments on unpublished KB articles
  • Attachments larger than 15MB (varies by plan — check your Freshdesk plan's limit)
  • Links between KB articles
  • Comments larger than 20MB
  • Watchers — not migrated by default; available only as a custom migration
  • Spam tickets
  • The Summary field — a separate field from Description, requiring its own retrieval method. Not migrated by default; available only as a custom migration option.

Before your data export: check your agents and contacts

If your Freshdesk account has deleted agents, reactivate or permanently delete them before migrating — otherwise their tickets won't transfer. Tickets belonging to soft-deleted contacts will migrate into Spam on the target platform instead of their original folder.

Out-of-the-Box Migration Options

Beyond a straight data transfer, the Migration Wizard gives you control over exactly what and how things move — from prioritizing your newest records to choosing which attachments come along for the ride. See the full breakdown of migration options.

Common questions

How to Find Ticket IDs for Free Demo with Custom Data?

A Custom Demo lets you hand-pick the records that go into your free Demo Migration instead of the 20 random ones the Migration Wizard selects. You can add up to 20 ticket IDs and 20 article IDs; one ID is enough to activate the option.

In Freshdesk, open the ticket you want to test and copy the ID from the end of the ticket URL — the same number shown next to the ticket subject. Paste it into the Migration Wizard and separate multiple IDs with commas. Incorrect IDs or extra characters get dropped, so double-check each entry before you run the demo.

Pick tickets that stress-test your data: ones with many attachments, inline images, call recordings, or long comment threads. Check out how find out your Freshdesk ticket ID

How to filter Freshdesk data before help desk migration?

You don't have to move everything. In a standard migration, you can filter your Freshdesk data by updated date: set the cutoff, and only records updated within that window transfer. Everything older stays on Freshdesk.

Need to filter by status, tags, custom fields, or a combination of criteria? That's a custom migration. Our development team builds the filter around your rules and quotes it separately from the automated migration price.

How to calculate Freshdesk records?

Before you export, it helps to know exactly how many tickets, contacts, and KB articles you're working with — this affects both migration time and pricing. See how to count your Freshdesk records, filter what exports, and pull tickets to CSV.

How to disable Parent-Child ticketing in Freshdesk?

Parent-Child ticketing (Estate and Forest plans) splits a ticket into sub-tickets, and the Parent-Child relation field is mandatory on Task-type tickets. If that field is empty, the Migration Wizard can't transfer the ticket and the migration fails. Turn the feature off before you export: Admin → Helpdesk productivity → Advanced Ticketing, then toggle Parent-child ticketing off in the upper right. See the full guide on how to disable Parent-Child ticketing.

How to find Freshdesk ticket ID?

  1. Navigate to your Freshdesk account and go to the tickets section.
  2. Find the ticket you want to include in the Custom Demo.
  3. Look for the ticket ID in the URL or above the ticket action bar.
  4. Input the ticket ID into the Migration Wizard.
