Kustomer data import, export and merging

Data import to Kustomer, fast and secure

Importing your data to Kustomer? Our automated tool will make even the most complex setup fast and easy, with zero disruption to your daily workflow.

OR

Use this option when bringing data from another system into Kustomer. Perfect for new Kustomer users or those centralizing their support data. We can import data using CSV files if your source isn't supported directly.

Importing means bringing your existing support data (tickets, contacts, companies, knowledge-base articles, etc.) from another system (or from CSV) into Kustomer. Use this when you’re starting fresh on Kustomer or consolidating support data from multiple legacy systems.

No, when handled via the Migration Wizard of Help Desk Migration the process is designed to run in the background with zero disruption. You can continue servicing customers while the demo migration runs, review results, then schedule full import at your convenience.

Yes, you can export your data to CSV and then import into Kustomer via the wizard. Kustomer has a CSV-import wizard.

You can still use the old system, but you should plan a “delta” migration step so updates made during import get transferred. If you keep using the old system without delta support, some new tickets may be missed.

Choose this to back up your data, analyze it, or move it from Kustomer, especially when switching platforms or consolidating data from different sources. Unsupported sources are handled via CSV exports.

Reasons include: backing up your data for compliance or auditing, archiving before major changes, or migrating out of Kustomer to another platform or consolidating data from multiple sources.

Yes. Exporting is a read-only process: your existing system remains unaffected while data is pulled out for archiving or migration.

CSV + other structured formats depending on the source platform or via custom export tools. If your target system doesn’t support a direct export/import path, CSV is the fallback. Help Desk Migration supports “unsupported sources handled via CSV exports”.

This option combines data from separate Kustomer accounts into one. It works best when your goal is to streamline teamwork, remove duplicates, or support a merger, an acquisition, or other business change.

It unites the records (contacts, tickets, knowledge-base, custom fields, etc.) from two separate Kustomer instances into one. Ideal when you have duplicate accounts in e.g. an acquisition or business unit consolidation.

Help Desk Migration, merger tool, lets you automatically add tags to newly migrated tickets to keep everything organized and duplicate-free.

Yes, but you’ll need to map agents via the Migration Wizard. Duplicate or old agent profiles may need consolidation.

Not necessarily. Many tools support delta/interval migration so you can keep your old and new instances active, reduce downtime, and schedule merge during low-volume periods.

This option will ensure a smooth and complete transfer when moving data between Kustomer accounts or switching to/from Kustomer. Perfect for reorganizing systems or upgrading your help desk setup.

Broadly: export your data from the old platform, map your fields/entities to Kustomer’s schema, run a demo import, validate, then run full import. You may also choose additional options like skip attachments, add tag to migrated data, transfer side conversations etc.

You’ll need to replicate your automations into Kustomer’s workflow engine. It’s recommended to disable or tune old automations in the new system until you validate the import, to avoid unintended triggers.

Run a Free Demo or Custom Demo (selecting a sample of tickets/articles) with the migration tool. Review results, validate mappings, resolve issues, then schedule full migration.

Help Desk Migration uses end-to-end encryption, isolated environments, compliance (GDPR, HIPAA, SOC II, ISO 27001).

Why Help Desk Migration is ideal for importing data to Kustomer

Help Desk Migration

A basic Kustomer data import workflow with Migration Wizard, Help Desk Migration’s automated interface:

1

Connect your source and target

Type in the links and credentials of your source and Kustomer accounts. This will create a secure connection between the platforms.

2

Map your data

Using Migration Wizard’s friendly interface and drop-down menus, choose where your contacts, tickets, knowledge base articles, and fields will go in Kustomer. Enable automated options for an easier import.

3

Run a Free Demo

Before you import all your data to Kustomer, try a test run with a Free Demo. Migration Wizard will transfer a random selection of 20 tickets and knowledge base articles to show you how it works.

4

Check results

After the demo, review the imported data carefully. Review comments, assignments, custom fields, and attachments. You can run the Free Demo as many times as you like until you’re satisfied with the outcome.

5

Complete your import to Kustomer

Once you’re happy with the demo results, schedule a Full Migration at your convenience. Migration Wizard will handle the rest, completing your Kustomer data import.

Automated options to make your import to Kustomer even more flexible

Add tags to newly migrated tickets

Automatically tag tickets during migration to avoid duplicates. Migrated tickets will be clearly marked once the accounts are merged. As a result, your team will be able to start using Kustomer right away without extra cleanup.

How it works

Migrate the newest records first

No need to pause your support. Import the latest tickets first so your team can address urgent customer issues immediately. Keep operations running while the Full Migration is underway.

How it works

Skip attachments

Speed up your migration and cut costs by excluding attachments. You can skip all attachments or just those older than 6, 12, or 24 months. Stay focused on current data without doing a manual cleanup before or after the Full Migration.

How it works

Migrate side conversations

Are you migrating from Zendesk? Bring over private side conversations as internal notes. This will keep important context and insights intact for future reference or agent training within Kustomer’s platform.

How it works

Migrate call recordings

Again, if you are moving from Zendesk, you can take your voice data with you. Transfer call recordings as audio files linked to support tickets. These will add valuable context for your service team, helping maintain quality customer care after migration.

How it works

Migrate inline images as attachments

Have you got lots of important visuals? With this option, all embedded images — screenshots, photos, diagrams — move along as attachments. Your team will have complete visual information connected to tickets without taking extra steps.

How it works

Update cross-links between articles

If your knowledge base articles interlink with each other, Kustomer will automatically update those links. Your Help Center will stay fully functional after migration — no manual fixing required.

How it works

Migrate content translations

If your Help Center supports multiple languages, all translated content moves smoothly into Kustomer. Your global customers can immediately access help in their preferred language without any manual work on your side.

How it works

Use a Custom Demo

Run a test for your migration with 20 tickets and 20 articles selected by you. Preview how particular data sets appear in Kustomer, adjust settings, and feel confident before running a Full Migration.

How it works

Special features to keep your migration downtime-free

Delta migration

Delta migration lets you keep working in your current platform during a Full Migration. When the process is complete, any tickets created or updated after the migration started will be moved to a new platform. This feature is available for Signature support plan customers only and can’t be tested separately.

Interval migration

Interval migration gives you control over when data moves. You can pause migration during busy work hours and restart it during quieter times, like weekends or nights. This prevents disruptions and keeps your support running without interruption. It works especially great for large data volumes or when Delta migration isn’t an option.

Customized settings for special Kustomer data import needs

We’re happy to customize the process to perfectly fit your needs if your Kustomer data import requires more than what Migration Wizard and its automated options provide.

In particular, our team can:

Filter your records based on your criteria

Remove duplicate data before importing

Map data differently: for example, move problems and change objects as tickets or contacts as users

Transfer ticket events as private notes

Whatever your needs, start with a Free Demo. If you see it doesn’t cover everything, reach out to our support team, and we’ll work with you to find the best solution.

Protecting your data with every Kustomer migration

Security and Compliance

We adhere to strict standards: SOC 2 Type II, SOC 3, GDPR, PCI-DSS, and HIPAA. In addition to that, our platform runs on AWS infrastructure that meets all applicable standards and is frequently audited to guarantee secure, dependable performance.

Secure migration platform

Built on AWS, our platform uses Cloudflare WAF protection. Our team follows secure development practices, including emergency change controls, automated vulnerability scans, and Docker image reviews to ensure a reliable, protected platform for your data.

Secure access control

Platform access is secured through OAuth authentication, single sign-on, role-based permissions, and session management. Employee access is tightly regulated through training, mobile device management, authorizations, password policies, and annual access reviews.

Data stays protected with end-to-end encryption and HTTPS protocols throughout migration. Real-time tracking, integrated BugSnag for issue detection, an isolated environment for each migration, and dedicated support make the process secure and trouble-free.
