How to Export Data from Help Scout Using the Migration Wizard

If your team has outgrown Help Scout and you're planning to migrate your data to another help desk solution, ensuring you have all the necessary access credentials is essential. Most importantly, you'll need to provide your Help Scout API key. To guide you through the process, our team has thoughtfully prepared a visual tutorial that demonstrates how to connect your Help Scout account and locate the API key.

Organizations choose to migrate from Help Scout for various reasons, such as cost, features, performance, and scalability. As teams expand, some find Help Scout’s pricing less sustainable, while others require specific features or integrations the platform doesn’t offer. Experiencing performance issues, particularly with large data volumes or specific functions, is another reason to seek a more scalable solution. In some cases, companies seek to consolidate their help desk with other tools or switch to a platform that takes a different approach to chat and other capabilities. To make the switch smoothly, you can use the Help Desk Migration Service.

Connecting your Help Scout account to the Migration Wizard is a straightforward process. The steps vary slightly depending on whether you're migrating just your help desk records or both your help desk and knowledge base records. Here’s a step-by-step guide for both options.

Option 1: Migrate Only Help Desk Records

1. Select Help Scout as the Source Platform

In the Migration Wizard, choose Help Scout as your source platform. You will see a section for the Docs API, but for this option, you can skip it.

2. How to Sign In to Help Scout?

Click the Sign In button. Enter your Help Scout email address when prompted. After authorization, you’ll see that Help Scout is connected to the Wizard.

3. Configure the Connection

Select the mailbox you want to export data from. If you have multiple Help Scout instances, choose the one you want to migrate. Keep in mind—you can migrate only one instance at a time.

4. Proceed to the Next Step

Click Continue, then connect your target platform. The Migration Wizard will then display the mapping page, showing the available help desk records for migration.

Option 2: Migrate Help Desk and Knowledge Base Records

If you also want to include your Help Scout Knowledge Base in the migration, you’ll need to use the Docs API.

1. How to Get the Docs API Key?

2. How to Insert the API Key into the Wizard?

Paste the copied API key into the corresponding field in the Migration Wizard.

3. Sign In to Help Scout

Click the Sign In with Help Scout button. Enter your email and password, then authorize the tool.

4. Configure the Connection

To configure your Help Scout connection, simply select the desired mailbox and the site from which you want to export data, then click Continue.

5. Proceed to the Next Step

Next, connect your target platform. You'll then be taken to the mapping page, where you'll see all available records for migration from both your help desk and Knowledge Base.
