There is a time when you realize that your old help desk solution just doesn’t cut anymore. It can be anything. From an outdated interface to a lack of advanced features (in some cases, basic even). Things evolve fast and so must you, hence why you want to move to a new platform. And the most common way to migrate is, of course, using a CSV file. So, let’s get on the tutorial.
Exporting your information to a CSV file
Now if you know Zendesk, you probably also know that the company likes to keep certain things under their control. One such is the CSV export option. Also, you should also keep in mind that the export from Zendesk to CSV option is only available in the two top tier plans. If you have something lower, you might need to upgrade to be able to export data.
- So, the first thing you have to do is enable CSV exports by sending an email to this address. Once you are granted permission, you will have export options and therefore, be able to move your stuff to a single file.
- You then need to go to Admin > Manage > Reports.
- After you’ve clicked on the Reports tab, you will have to pick from what date you want your info to be stored in a CSV. Once done, you simply hit the “Request file” button.
The file will be delivered to you via email and the link will be valid for at least three days. If you fail to download the data within three days, you will be asked to perform the above-mentioned steps again. Also, keep in mind that the report will include all your data such as tickets, emails, etc.
First off, the export option is locked behind a pretty expensive pay-wall. Then there’s the fact that it will take a while to get your file.
Depending on the amount of data you have, file creation can take upwards of two days to be piled up. You could alternatively use an API method to move all your information but this completely defeats the purpose of this feature. Besides, not everyone knows how to code or understands all the data dependencies that come bundled with each help desk.
A simple way to export Zendesk data to CSV
The following process will allow you to transfer Zendesk tickets along with the knowledge base (if needed) without the need to shift to an expensive plan or code stuff. Yes, it is a paid solution but it will save you a significant amount of time, effort and money.
Okay, now that you know this, what you want to do is open our data migration tool. First, you need to create an account. Then, you can get down to exporting data.
Copy and paste the URL of your project into the line and hit the continue arrow. You will be redirected to Zendesk log in page. Just sign in as you usually would. then head over to the “Username” line. There, you simply type in the email you’ve used to register your Zendesk account and move on to the next line. Over there you simply type your password and hit the continue arrow.
This will take you to a page where you will select what kind of information you would like to store. Whether its knowledge base elements or tickets and contacts, you simply pick what you need and hit next.
This will start the testing process. In around 5 minutes you will have sample CSV files with your data in them. Check if they look ok and continue with the full export. Once done, you simply download your file and close the page.
Note that the files will be available for download for 5 days.
