How to Migrate from Kayako to Zendesk Easy

While most understand the need for a good, constantly updated help desk, few realize that moving data from one system to another is not as simple as it might sound. After all, with so many of them on the market, it's understandable that some can accept data from one tool, and refuse from another. One such case is migrating data from Kayako to Zendesk.

The Problem

As you might have guessed, full migration from Kayako to Zendesk can be an issue. The reason why it can be so frustrating is that both tools are drastically different on the backstage side of things. Indeed, on the surface, each desk software is pretty much identical but the way they handle the migration process can differ wildly.

All of this means that moving data won't be snappy and you will need to tackle everything on your own. It’s true that customer support can help you but keep in mind that even the support team won't be able to fully migrate data from Kayako. In fact, no matter who you ask, moving every bit of information (this includes configurations, macros, etc) is practically impossible as each tool might not even support certain configs. With that out of the way, let's talk about how to migrate from Kayako to Zendesk.

The Solution

As you’ve learned, data migration is a tough process and not all knowledge base data, ticket info can be moved. Despite this negative forecast, you can still move your records. But it will require a lot of patience. So, for starters, head over to your Zendesk account and see what kind of files it can accept. The reason why this step exists is that as of the time of this writing, Zendesk supports both XML and CSV files, which can change in future. The next thing you need to do is head over to Kayako’s export options. Perform an export of all your data (do it multiple times in case of emergency) and back it up somewhere safe.

Then head over to Zendesk and try to move in the export file from Kayako. Once you get the notification that the migration process was successful, check what kind of information you managed to move and if you are missing something, you can try using a different export file format (i.e if you used CSV, try XML). And if that doesn’t work, you can try typing everything manually.

But if that’s not your cup of coffee and you don’t really have time to deal with all of this, try our migration tool. Using our tool does not require you to mingle with files or anything else for that matter. Everything is done directly from Kayako in minutes and requires little to no user input. However, before performing the migration, don't forget to register in Zendesk. Nevertheless, you don’t have to take our word for it. See what our customers have to say about our migration service.
