Here’s a Painless Method to Export Salesforce Cases

If you ever worked in a Salesforce system, you know two things about it. One is the fact that it is super helpful in a company and the other is that it is a locked system. Indeed, those who opted to use a Salesforce tool are treated to a myriad of tools that are encapsulated within a locked environment which is, frankly, hard to leave.

Yet, in spite of all of this, what if we told you that there are ways to move your stuff in a fast and effective manner? That’s right, ways, as in plural. This is precisely what we will talk about today thus, without any further delay, let’s dive into the article. Let's take a look at possible ways to export cases from Salesforce!

The Free Options

We’ll start with the free options as those seem to be the ones people seek first. We won’t be listing or giving any names as there are way too many of them. What we will do is we would like to bring your attention to the fact that the only free cheese is in the mousetrap. That being said, not all of the tools are made equally but the general conception is that they will only get you so far.

Some will allow moving a few records at a time, others will move specific data such as customer info. And then there is the fact that none of them are safe. Every time you use a free migration tool, you are playing with the devil himself as your stuff is not protected. Things such as data corruption or theft cannot be taken out of the equation, in fact, anything can happen.

You have to make sure that the tool is well-built and has at the very least some data protection system in place. And even then, try and scout the web for some reviews and details.

Information is key and if you have doubts, we suggest that you don’t risk your customer data and move to the next section.

Alternative Methods

Now if you decided not to use free tools on the internet, we have a manual migration method. However, it is quite limited and we’ll get back to the details in a bit but first, let’s take a look at the method itself.

So, for starters, the process is quite simple and pretty straightforward. All you have to do is head over to the Weekly Backup manager. You can enter it by going to the Setup -> Data Management -> Data Export and Export Now (alternatively, you can also use the Schedule Export option). Once you are there, you have to create a Case Report or you can use the Apex data loader if you have the Enterprise or Developer tier account to move your stuff from Salesforce. By the end, you will have a .CSV file that you’ll have to edit manually to export cases from Salesforce.

You will have to deal with a .CSV file in the end, which is not only un-optimal but doesn't guarantee the usability of the data.

And this is where the limitations come into play. You have to play with a .CSV file which is not only un-optimal but does not guarantee that the extracted data will be usable. If you don’t have time to deal with the caveats, we suggest that you keep reading.

Our Solution

And now let’s talk about our system. We have a tool that will not only eliminate the need to play with a file but will be fully automated and extremely secured. However, unlike the two previous methods, our solution is a paid option. But don’t go away just yet as we offer flexible prices to all of our customers.

Salesforce data export

That’s right, you only pay for the number of records transferred. No hidden labor fees, no extra services in the process. You only pay for the entities moved. Moreover, the process is quite fast too. In a single business day, you will have all your records in a usable state in your hands. Here’s how the pros and cons stack up against each other:

Table 1: Pros & Cons

  • Fast
  • Reliable
  • Affordable
  • Easy to use
  • Does not require any files
  • Will work with similarly made systems
  • It is a paid option
  • It will not work with proprietary tools that use custom API calls.

As you can see, there aren’t that many cons. The price is flexible and can be tailored to your organization’s needs. And if you are worried that your custom-built system will not work, we also offer a custom migration service.

Bottom Line

And there you have it. Three methods to export cases from Salesforce are covered. Whichever is best for you, we say go for it but if you want a hassle-free option, you can’t go wrong with our migration system.
